Assistant to Director IB (International Business)
We are looking for an experienced and proactive Assistant to provide high-level administrative and organizational support to a Director International Business (7 countries) and administrative support to his IB management team. In this role, you will become a trusted partner in ensuring smooth day-to-day operations, efficient coordination and professional communication across internal and external stakeholders.
Key responsibilities
- ▪Provide professional and timely administrative support to the Direcor and ensure efficient handling of organizational tasks and provide administrative support for the IB management team.
- ▪Manage correspondence, presentations, documents, and invitations using MS Office.
- ▪Coordinate calendars, appointments, meetings, and deadlines based on priorities agreed with Director.
- ▪Organize meetings, including room booking, logistics, refreshment, preparation of materials, and taking meeting notes. Organization of business events for IB management team.
- ▪Arrange business travel, including bookings, travel documents, insurance, accommodation, and travel expense overview.
- ▪Support communication with internal and external partners and relay information on behalf of the Director.
- ▪Handle incoming and outgoing mail, document circulation, signatures, filing, and archiving.
- ▪Invoice administration, and other ad hoc tasks as needed.
- ▪Assist with holiday and absence tracking for the supported team as required.

- ▪Advanced communication and collaboration skills.
- ▪Strong organizational and prioritization skills, with the ability to work independently.
- ▪Previous experience as an Executive Assistant, Personal Assistant, or in a similar support role.
- ▪A professional and reliable approach.
- ▪Ability to work under pressure, manage multiple priorities, and stay one step ahead.
- ▪Proficiency in MS Office.
- ▪Fluent in Czech and English; German is an advantage.
