The Position

Key responsibilities include, but are not exclusively

  • Daily executive support.
  • Manage and improve administrative processes to achieve the best overall employee and/or visitor experience. Utilize PPI principles - gather feedback from the organization, propose and manage improvements.
  • To oversee meeting arrangements; help to follow effective meeting guidelines.
  • Drives cost efficiencies.
  • Use company information and data sources to prepare reports and presentations for site management.
  • Drive and check contracts, reports, proposals, invoices, and legal documents for approval process including paper & electronic documents archiving.
  • Working in compliance with legislation and IMS
  • Excursions and factory tours at the company – organization from A to Z, communication with high schools and universities, being proactive, being comfortable with public speaking, but also assisting during visits – catering, coffee breaks, and other support.
  • Support for the PR team – helping with administrative tasks – invoices, contracts, arranging catering, helping at events, creating presentations - good work with PowerPoint.
  • Intranet administration – creating short texts, keeping track of current information, working well with data.

Requirements

  • Bachelor’s degree or equivalent educational experience
  • Comfortable being a representative for the company at events
  • Experience as an international or at least frequent domestic traveler is highly desired as that experience is extremely helpful in planning trips for others and dealing with changes to schedules real-time
  • Basic knowledge of accounting and finance is desirable
  • Excellent verbal and written communication skills; good writing skills
  • Fluent in English, must speak Czech

  • Ability to coordinate meetings and event plans – small to large scale
  • Customer focus with high attention to detail and high level of professionalism
  • Ability to work a flexible schedule from time to time
  • Ability to maintain privacy and confidentiality is an absolute must
  • Ability to coordinate and manage simultaneous projects and successfully prioritize multiple task while using appropriate judgment under tight timelines
  • Self-starter with ability to work independently as well as collaboratively
  • Basic project management knowledge – planning, task management, time management, budget, results orientation
  • Group B driving license
